Privacy Policy

Our President is the person in charge of the protection of personal information at Luma Visuals. You can reach them at hello@lumavisuals.co or at the address at the end of this policy.

We collect the information you give us, including:

• Contact details: name, email, phone number and business name, when you inquire, join the waitlist, sign up or write to us.
• Project information: the footage, files, links, notes, briefs and brand materials you provide so we can edit your videos.
• Account information: your portal login or access code, your orders, messages, review comments and activity in the portal.
• Billing information: needed to charge or invoice you. Card and bank details are collected and stored by our payment processor, Stripe. We never see or store full card or bank account numbers.

Our hosting provider records standard technical logs (such as IP address and browser type) to keep the website and portal running and secure. The portal uses cookies that are needed to keep you signed in. This website sets no advertising or analytics cookies; if that changes, this section will be updated first.

We use personal information to:

• Deliver, edit and manage your video projects.
• Run your client portal, including orders, reviews and messages.
• Charge or invoice you and process payments.
• Communicate with you about projects, your account and support.
• Keep our services secure and reliable, and meet our legal obligations.

We do not sell personal information. We do not use it for automated decisions about you.

The footage and files you send us remain yours. Unless you opt out, we may show finished edits in our portfolio, website, social media and marketing, without your private or confidential information. You can opt out for one edit or for all of them in the portal or by writing to us, and we will not make new use of those edits.

If you give us your mobile number and agree to receive texts, we may text you about your orders, deliveries and account. Message and data rates may apply. Reply STOP at any time to opt out. We do not share mobile numbers with third parties for their marketing.

We share personal information only with the service providers that run our business, and only what each needs: payment processing (Stripe), database, file storage and portal infrastructure (Supabase), website and portal hosting (Vercel), email (Google Workspace and our email-delivery provider) and phone and text messaging. They may use it only to provide their services to us, under contractual confidentiality and security obligations.

Some of these providers store or process information outside Quebec, including in the United States. Before transferring information outside Quebec, we assess whether it will receive adequate protection, and we put written agreements in place with those providers. We may also disclose information when the law requires it.

Delivered edits stay available in your portal without a set deletion date. Project files and source footage may be deleted once an edit is accepted or marked complete. We keep account, billing and tax records for as long as the law requires (generally six years in Canada), and other information only as long as needed to provide our services, resolve disputes and enforce our agreements. Then we delete or anonymize it.

You can ask to access the personal information we hold about you, to correct it, to have it deleted or de-indexed, to withdraw your consent, or to receive it in a structured, commonly used technology format. Write to hello@lumavisuals.co. We answer within 30 days. If you are not satisfied with our answer, you may file a complaint with the Commission d’accès à l’information du Québec.

We protect personal information with reasonable administrative and technical measures, including encrypted connections, access limited to the people who need it, and two-step verification for our team. No system is completely secure. If a confidentiality incident presents a risk of serious injury, we will notify the Commission d’accès à l’information and the people affected, as the law requires.

Our services are for businesses and are not directed to anyone under 18.

We may update this policy. When we do, we revise the “last updated” date above and, for significant changes, tell clients in the portal or by email.
